Privacy Policy
Who We Are
PlayPlan ("we", "us", "our") is an online event ticketing and discovery platform. Our service is operated from the United Kingdom. You can contact us at hello@playplan.co.uk.
Information We Collect
We collect information you provide directly when you:
- Create an account — name, email address, password (hashed), optional profile image, city, phone number, date of birth, and social media link.
- Purchase a ticket — name, email, and any guest attendee details you enter.
- Sign in with Google — your Google profile name, email address, and Google account ID.
- Contact us — any information you include in your message.
We also collect limited technical data automatically, including your IP address (for security and rate-limiting purposes) and standard server access logs.
How We Use Your Information
- To create and manage your account.
- To process ticket bookings and send confirmation emails.
- To send event notifications you have opted into.
- To prevent fraud and abuse (e.g. login rate-limiting).
- To allow event organisers to manage attendee check-in.
- To comply with legal obligations.
Legal Basis (UK GDPR)
- Contract — processing your booking and managing your account.
- Legitimate interests — security, fraud prevention, platform improvement.
- Consent — optional marketing emails and content preferences; you may withdraw consent at any time.
Data Sharing
- Stripe — payment processing. PlayPlan does not store or handle card details. See Stripe's Privacy Policy.
- Google — only when you choose to sign in with Google. See Google's Privacy Policy.
- Event organisers — your name and email are shared with the organiser of events you book tickets for, for the purposes of check-in and event communications.
- Legal requirements — we may disclose data if required by law or to protect the rights and safety of users.
Data Retention
We retain your account data for as long as your account is active. If you close your account, we will delete your personal data within 30 days, except where we are required to retain it for legal or financial record-keeping purposes (typically 6 years in the UK).
Inactive accounts (no login for 3 years) may be deleted after advance email notice.
Your Rights
Under UK GDPR you have the right to:
- Access — request a copy of your personal data.
- Rectification — correct inaccurate data via your profile settings.
- Erasure — request deletion of your account and data.
- Restriction — ask us to limit how we process your data.
- Portability — receive your data in a machine-readable format.
- Object — opt out of marketing emails at any time.
To exercise any right, email hello@playplan.co.uk. You also have the right to lodge a complaint with the ICO.
Security
Passwords are hashed using bcrypt and never stored in plain text. We use HTTPS, CSRF tokens, login rate-limiting, and session security controls to protect your account. Despite these measures, no system is completely secure; please use a strong, unique password.
Cookie Policy
PlayPlan uses a minimal number of cookies necessary to operate the platform. We do not use advertising or third-party tracking cookies.
Cookies We Use
- Session cookie (PHPSESSID) — keeps you logged in during your visit. This is a strictly necessary, first-party cookie with
SameSite=LaxandHttpOnlyflags. It expires when you close your browser. - Theme preference (pp_theme) — stores your dark/light mode preference in
localStorage, not a cookie. It persists until you clear site data.
No Third-Party Tracking
We do not embed advertising networks, social media tracking pixels, or analytics services that set their own cookies.
When you sign in with Google, Google may set its own cookies on their domains. Please refer to Google's cookie policy.
Stripe may set session cookies on their hosted payment pages. Please refer to Stripe's cookie policy.
Managing Cookies
You can control cookies through your browser settings. Disabling the session cookie will prevent you from logging in. All other site features remain available without additional cookies.
Terms of Use
By accessing or using PlayPlan you agree to these Terms of Use. If you do not agree, please do not use the platform.
What PlayPlan Is
PlayPlan is a marketplace platform that connects event organisers ("hosts") with ticket buyers ("attendees"). We provide the technology; we are not the organiser, promoter, or seller of any event listed on the platform.
Permitted Use
- You must be at least 13 years old to create an account.
- You may only hold one account per person.
- You must provide accurate information when registering.
- You are responsible for maintaining the security of your account credentials.
Prohibited Use
You may not use PlayPlan to:
- List, promote, or sell tickets to events that are unlawful or that you do not have the right to organise.
- Scrape, harvest, or systematically collect data from the platform.
- Attempt to gain unauthorised access to other accounts or systems.
- Engage in any conduct that is harmful, misleading, or fraudulent.
- Circumvent security measures, rate limits, or access controls.
Platform Availability
We aim to keep PlayPlan available but do not guarantee uninterrupted access. We reserve the right to modify or discontinue features at any time.
Intellectual Property
The PlayPlan name, logo, and platform code are our intellectual property. Event content (descriptions, images) remains the property of the respective host, who grants us a non-exclusive licence to display it on the platform.
Limitation of Liability
To the fullest extent permitted by UK law, PlayPlan is not liable for: any loss or damage arising from an event you attended or organised; any indirect or consequential loss; or any loss arising from your use of or inability to use the platform.
Governing Law
These terms are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
Changes to These Terms
We may update these terms from time to time. Continued use of the platform after changes are posted constitutes acceptance of the new terms. We will notify registered users of material changes by email.
Account Terms & User Agreement
Account Types
- Attendee accounts — free to create, approved automatically. Used to discover events, purchase tickets, and manage bookings.
- Host (Event Manager) accounts — require admin approval before they can create and sell tickets for events. Hosts must connect a Stripe account to receive payments.
Host Account Approval
Host account applications are reviewed by the PlayPlan administration team. We reserve the right to approve or reject applications at our sole discretion. Rejected applicants may reapply or contact us at hello@playplan.co.uk.
Account Suspension and Termination
You may close your own account at any time by contacting hello@playplan.co.uk. If you have pending ticket sales as a host, we may require you to fulfil your obligations before your account is closed.
Host Responsibilities
As a host, you agree to:
- Provide accurate and complete event information before publishing.
- Honour all ticket sales and deliver the advertised event experience.
- Communicate promptly with attendees regarding changes or cancellations.
- Issue refunds in accordance with our Refund Policy and your stated refund terms.
- Comply with all applicable laws, including those relating to events, licensing, health and safety.
- Ensure your Stripe account remains connected and in good standing.
Community Guidelines
PlayPlan is a place for people to discover, share, and attend events. To keep the platform welcoming and safe, we ask everyone to follow these guidelines.
For All Users
- Treat other users, hosts, and attendees with respect.
- Do not harass, threaten, or discriminate against anyone based on race, ethnicity, religion, gender, sexual orientation, disability, or any other protected characteristic.
- Do not share false, misleading, or defamatory content.
- Do not attempt to defraud other users or the platform.
For Event Hosts
- Event listings must accurately describe the event, date, time, location, and any age restrictions or content warnings (including NSFW designation).
- You may not list events for illegal activities or events that promote hatred or violence.
- Ticket prices must be clearly stated. Hidden fees are not permitted.
- If an event is cancelled or significantly changed, you must notify all ticket holders promptly and process refunds in accordance with our Refund Policy.
Content Standards
Event images and descriptions must not contain:
- Explicit sexual content (unless the event is appropriately marked as NSFW/18+).
- Content that glorifies or incites violence.
- Spam, unsolicited advertising, or malicious links.
- Intellectual property you do not own or have a licence to use.
Reporting Violations
If you encounter content or behaviour that violates these guidelines, please contact us at hello@playplan.co.uk. We investigate all reports and take appropriate action, which may include content removal or account termination.
Payment Terms
How Payments Work
- Ticket purchases are processed by Stripe, a regulated payment service provider. Payment funds are sent directly to the host's connected Stripe account.
- PlayPlan does not receive or hold any portion of ticket sales.
- Stripe may apply their standard transaction fees to hosts. See Stripe's pricing.
Accepted Payment Methods
Payment methods are determined by Stripe and may include major credit/debit cards and other methods available in your region. PlayPlan does not control which payment methods are available.
Free Tickets
When a host offers free tickets, no payment is taken. Bookings are confirmed immediately. Free tickets are subject to the same cancellation and refund policies as paid tickets.
Pricing and Currency
All prices displayed on PlayPlan are set by the event host. Unless stated otherwise, prices are in GBP (£). The host is responsible for ensuring prices are correct and inclusive of any applicable taxes.
Payment Disputes
If you have a dispute regarding a charge, please first contact the event host directly. If you cannot resolve the issue with the host, contact us at hello@playplan.co.uk and we will assist where we are able. For Stripe-related queries, contact Stripe support.
Refund & Return Policy
Host Refund Obligations
Event hosts are required to refund attendees in the following circumstances:
- The event is cancelled by the host — a full refund of the ticket price must be issued.
- The event is postponed and the attendee cannot attend the new date — the host must offer a full refund.
- The event is materially different from what was advertised (e.g. different venue, significant line-up changes) — the host must offer a refund to affected attendees.
Discretionary Refunds
Whether to grant a refund in other circumstances (e.g. attendee unable to attend, change of mind) is at the host's sole discretion. Hosts may set their own refund terms, which will be displayed on the event page where applicable.
How to Request a Refund
- Contact the event host directly using the contact information on the event page.
- If you cannot reach the host, email hello@playplan.co.uk with your booking details and we will attempt to mediate.
Tickets as a Service
Tickets are non-transferable unless the host expressly permits transfers. There are no physical goods to "return" — the refund policy above applies to the ticket booking fee.
Chargebacks
If you initiate a chargeback without first attempting to resolve the issue with the host or PlayPlan, your account may be suspended pending investigation.
Cancellation Policy
Cancellation by the Attendee
If you wish to cancel your ticket, contact the event host. Whether a refund is granted is subject to the host's refund terms and our Refund Policy above. PlayPlan does not process attendee cancellations.
Cancellation by the Host
If a host cancels an event:
- The host is responsible for notifying all ticket holders as soon as possible.
- A full refund of the ticket price must be issued to all attendees.
- Hosts who repeatedly cancel events may have their account reviewed or suspended.
Event Postponement
If an event is postponed to a new date, attendees may choose to:
- Keep their ticket for the new date, or
- Request a full refund from the host within a reasonable timeframe after the new date is announced.
Force Majeure
If an event is cancelled or postponed due to circumstances beyond the host's reasonable control (e.g. extreme weather, government restrictions, venue closure), the host is still expected to provide refunds where possible. PlayPlan is not liable for losses arising from force majeure events.

Delivery & Fulfilment Policy
PlayPlan is a digital platform. There are no physical goods delivered. All "delivery" is digital and instant.
Ticket Delivery
- Upon successful booking, your ticket is immediately available in your My Tickets page.
- A confirmation email is sent to your registered email address. Delivery may be delayed by your email provider; please check your spam folder if you do not receive it within a few minutes.
- Guest ticket confirmations are sent to the email address you provided for the guest at the time of booking.
Ticket Format
Tickets are stored digitally in your account. You do not need to print anything — show your ticket from the app or website at the event for check-in. The host may use the PlayPlan check-in system to verify attendance.
Non-Delivery
If you complete a payment but do not receive a ticket confirmation within 30 minutes:
- Check your PlayPlan account under My Tickets.
- Check your spam/junk folder for the confirmation email.
- If the ticket is not in your account, contact us immediately at hello@playplan.co.uk with your payment details and we will investigate.
Service Availability
We aim to maintain continuous availability of the platform. However, we do not guarantee uninterrupted service. Planned maintenance will be communicated in advance where possible.
